2. What information we collect, use and why
Enquiries, complaints and claims
We may collect names and contact details and information you provide when contacting us with a question, concern, complaint or claim.
Nursery care, education and administration
For children attending or applying to attend the nursery, we may use names, dates of birth, contact and emergency contact details, attendance and booking information, parent or carer communications, learning and development records, and information needed to support each child's care, health, safety and welfare.
Where relevant, this may include information about allergies, dietary requirements, health, additional needs or support, safeguarding, and information shared with us by parents, carers or appropriate professionals. We handle this information with particular care.
Fees, funding and financial administration
We use relevant parent, booking, attendance, funding, invoice and payment information to administer nursery fees and payments, manage funded childcare where applicable, and meet financial and record-keeping requirements.
Newsletters and parent communications
We send newsletters, nursery updates, event information and other relevant communications to parents and carers of children attending Trinity Childcare. We use their contact details to provide these updates and to send essential communications about nursery arrangements and children's care. We do not currently send marketing newsletters to people who are not nursery parents.
Website enquiries
If you contact us through our website, we use the details and message you provide to respond to your enquiry and manage any follow-up.
Recruitment
When someone applies for a job, we may use contact details, date of birth where needed, employment and education history, qualifications, references, right-to-work information and relevant recruitment or vetting information, including DBS information where appropriate. Recruitment information is handled for recruitment and related legal or safeguarding requirements.
Legal, regulatory and safeguarding requirements
We may process identification, health and safety, safeguarding and other relevant information where needed to meet legal or regulatory obligations, protect children and others, respond to emergencies or address safeguarding concerns.
3. Lawful bases and data protection rights
UK data protection law requires us to have a lawful basis for using personal information. The appropriate basis depends on the purpose and the type of information involved.
Depending on the circumstances, the relevant basis may include taking steps to enter into or perform a contract, complying with a legal obligation, protecting someone's vital interests, consent for specific optional uses, or legitimate interests where these have been properly assessed. Where we process special-category information, such as certain health information, or criminal-offence data, additional legal conditions may apply.
You may have the right to access your personal information, request correction, request erasure or restriction, object to certain processing, request data portability, or withdraw consent where consent is the basis. These rights are subject to legal conditions and exemptions. We will respond to valid requests within the time required by law.
To make a request, contact us using the details in section 1.
4. Where we get personal information from
We usually receive information directly from parents, carers, prospective parents, job applicants, staff and business contacts. Depending on the circumstances, we may also receive relevant information from local authorities, regulatory or funding bodies, social services, health or safeguarding professionals, previous employers or referees, and our service providers. We only include sources that are relevant to the particular situation.
5. How long we keep information
We keep personal information only for as long as necessary for the purpose for which it was collected and to meet applicable legal, regulatory, safeguarding, financial and Southwark Council record-retention requirements. Retention periods vary according to the type of record.
6. Who we share information with
We may share relevant personal information with parents and carers, Southwark Council and other relevant local authorities or funding bodies, regulatory authorities, social services, safeguarding organisations, health professionals, emergency services, or other organisations where sharing is necessary and lawful. We may also share information with service providers that support our operations, such as providers of learning records, accounting, email, office and website services.
We limit information shared to what is relevant and appropriate for the purpose. We do not publish children's personal information or photographs on our website, social media or other public channels without first obtaining the required parent or carer permissions and checking that the use is appropriate.
